How to Answer RFPs and Security Questionnaires Faster (Without the Copy-Paste Chaos)

Somewhere in your company there is a spreadsheet with 340 rows, each one a question, and a due date that lands in the same week as two demos and a POC review. RFPs and security questionnaires are how serious buyers buy, and they are also the single most resented block of work in pre-sales. The resentment is earned: most teams answer the same questions, quarter after quarter, from scratch.

The fix is not typing faster. It is changing what an RFP response draws from. Here is the workflow that actually shortens the week.

Why RFPs eat the week

  • The answers exist but cannot be found. They live in the last RFP, a wiki page from 2024, a Slack thread, and one architect’s memory. Finding an answer takes longer than writing it.
  • Every questionnaire words things differently. “Describe your encryption at rest” and “How is customer data protected on disk?” are the same question, but text search will not tell you that.
  • Versions drift. The SOC 2 answer in the last RFP was right in January and is wrong now. Copy-paste propagates stale claims into signed documents.
  • Review is unbounded. When reviewers cannot tell where an answer came from, they re-litigate everything, and the deadline gets closer.

Step 1: Build one approved answer library

Collect your best current answers into a single approved body of content: security overview, architecture notes, compliance posture, pricing and packaging, integration docs, and the last two or three completed questionnaires you are proud of. The bar is not completeness, it is trustworthiness: everything in the library should be something you would say to a buyer today. Kill duplicates and out-of-date claims as you go. Step 2: Draft from the library, not from memory

With a grounded drafting tool, each incoming question is matched against the library semantically (so the two encryption questions above find the same answer), and a draft is produced from approved content only, with a citation back to the source. Two properties are non-negotiable:

  • Citations on every answer. A reviewer who can see the source approves in seconds. A reviewer who cannot must re-verify from scratch, and your time savings evaporate.
  • Honest gaps. When the library has no answer, the tool must say so instead of improvising. A flagged gap is work you can route to the right expert. An invented answer in a security questionnaire is a contract risk.

This is where AI earns its keep in the RFP process: not by knowing things, but by retrieving what your team already knows, adapting it to the question’s wording, and being honest about the rest.

Step 3: Route the gaps like tickets

After the drafting pass, you have two piles: answers awaiting review, and genuine gaps. The gaps are the only part that needs subject-matter experts, so treat them like tickets: assign an owner and a date per gap, and when the expert answers, put the answer into the library, not just into this response. Next quarter that gap does not exist.

Step 4: Review with humans, in one pass

Review is where quality lives, so spend the saved time there. With citations attached, a reviewer’s job collapses to two questions: is this source still current, and does this answer fit this buyer? Legal and security review the sensitive sections; the SE owns coherence and tone. One pass, not five.

Step 5: Deliver in the buyer’s format

Procurement lives in spreadsheets, so whatever tool you use must export back to Excel cleanly, preserving the buyer’s row order and columns. Fighting the format is unpaid work; a good export turns delivery into a non-event.

Step 6: Close the loop

The compounding step most teams skip: after submission, fold every new approved answer back into the library and retire what it replaced. Teams that do this find their second questionnaire takes half the time of the first, and the fifth is mostly review. The library also starts paying dividends outside RFPs, because the same approved content can power your demo follow-up Q&A and your battlecards. Answer once, use everywhere.

Should you even bid?

A faster process also clarifies the no-bid decision. If the questionnaire reveals hard blockers (a compliance regime you do not meet, a deal-breaking architecture requirement), you want that signal in hour two, not day four. Run the drafting pass first, look at the gap list, and decide with data.
